BAYCourses is committed to protecting your personal information and ensuring that it is used fairly and responsibly. This policy explains the information we collect about you and how it will be used.

References to “we”, “us” or “our” refer to BAYCourses and references to “you” or “your” refer to any users of our website.

What information do we collect?

1.0 General Data

We only collects names and business address details including telephone number and email address, events attended and sometime dietary preferences. Some of this information is collected by a secure highly respected third party event management system, which is outside our direct control.

2.0 Financial Data

 

Any credit card numbers provided are entered by you directly into third party processing systems and collected through payment gateways outside of BAYCourses and as such, we cannot be responsible for the security of such data. We only use reputable payment systems, which are suitably encrypted.

Some of the information we collect may be considered "personal data" under the Data Protection Act 1998. We collect it to cater to your needs or act in your interest, and we are only prepared to accept personal data from you on the condition that we have your positive consent. We will seek this consent when necessary.

We never share your address, email address or telephone number with anyone outside of BAYCourses, unless you have given us express permission to do so. At many of our events, a guest list is available showing just the first name, last name, job title and company of all those attending. If you are attending one of our events and wish to be excluded from a guest list, please let us know in writing, before the event.

3.0 Photographic / Video Images

We may also take photographs at some of our events or record images using video equipment. If you do not want to be photographed or video, please tell us BEFORE the event commences and we will do our best to omit you from the pictures. Videos and photographs are usually placed on our website following an event and by attending the event, you are consenting to us using the photographs for marketing and promotion purposes, unless you have told us otherwise.

4.0 Google Analytics

Our website uses Google Analytics, a web analytics service provided by Google, Inc. (‘Google’). Google Analytics uses cookies (please see below) to help us analyse how you use the website. The generic, non-personal, information generated by cookies will be transmitted to, and stored by, Google on servers in the United States. Google uses this information for the purpose of evaluating your use of the website, compiling reports on website activity for website operators and providing other services relating to website activity and internet usage. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf. Neither BAYCourses nor Google will associate this information with any other data held by BAYCourses or Google. You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this you may not be able to use the full functionality of our website.

5.0 Cookies

‘Cookies’ are small amounts of data sent in a text file from a web server to your web browser which help operators understand more about the way in which you use a website. The information collected through cookies on our website is only used by Google Analytics to help us analyse how you use the website.

BAY CIC reserves the right to withdraw a participant’s offer of a place, on any course, and at any time, if there are safeguarding concerns relating to their own physical / mental well-being, or that of any other participant, or staff.

Where is my personal information stored?

​

Any and all information you provide to us via our webite directly or by email will be stored in secure databases at our secured offices, and prohibited from unauthorised viewing and usage. Information supplied whilst booking an event via a third party event management system, is held in an encrypted format but outside of the direct control or management of BAYCourses.

What do we do with the information collected?

​

We only receive information about you when you submit such information to us by becoming a member or reserving a place at an event. We do not collect personal information about you while you are browsing our website.

BAYCourses may use details you have submitted to our site to contact you about your place at an event.

​

We may also use the information you have submitted to us to contact you about our upcoming events. If you would rather we did not use your information to contact you about upcoming events then please tell us – send an email to info@baycourses.co.uk or write to us at the address below.

We may need to disclose your information where required by law, where such a request is made by a legal authority. We may need to disclose our customer list including any personal information relating to you to a third party who acquires or attempts to acquire all or substantially all of the asset/stock in our company or our website. We may also disclose information to organisations who act as "data processors" on our behalf, or to other organisations that perform business functions on our behalf, some of whom are outside the UK/EEA. These functions include administration, providing services (and contacting you where necessary), customer care, business management and operation, re-organisation/structuring/sale of our business (or our group companies), risk assessment, security and crime prevention/detection, research and analysis, marketing, monitoring, measuring and assessing customer purchasing preferences and trends, dispute resolution, credit checking and debt collection.

Any communication you have with BAYCourses may be recorded for the purposes of training and monitoring.

We have taken all reasonable steps to have appropriate security measures in place to protect your information. Outside the European Economic Area, controls on data protection may not be as wide as the legal requirements in the UK. The transmission of information via the internet is never completely secure. We exclude our liability for personal data lost in transmission to the BAYCourses website, any event booking site and any credit card payment gateway.

What can I do?

If you do not agree to our use of the information as set out above, you should inform us as soon as possible by writing to us at the address below or by email at info@baycourses.co.uk

In accordance with the Data Protection Act 1998, you may ask us in writing for a copy of the information we hold about you and to correct any inaccuracies in your information. We aim to respond to you within 21 days from the date of request. You can also choose not to provide us with some of the information we request, however as a result we may not be able to accept you as an attendee at one of our events.
